For liquor, wine and beer stores
A liquor store POS system that scans, checks IDs and counts bottles
The best POS for a liquor store scans every bottle, stops the sale for an age check on restricted items, and keeps a count that drops with every sale. A free plan covers those basics. Selling cases and single bottles from one count, and tracking which distributor you buy from, usually takes a paid plan.
Package stores, wine shops, beer and growler shops, the liquor aisle in a bigger store. Here's what to look for at the counter and in the back room.
At the counter
What should a liquor store POS do at the counter?
Four things, in this order, on every sale. If a system makes any of them slow, your Friday line will tell you.
Scan
Every bottle, can and pack, including the case barcode. A USB or Bluetooth scanner is plenty for most stores.
Stop for ID
Flag age-restricted items once, and the register won't finish the sale until someone confirms the age.
Add the deposit
In deposit states, the bottle deposit should add itself, not depend on a cashier remembering it.
Take payment
Tap, chip or cash, a receipt if they want one, and on to the next customer.
On ID checks: a basic prompt just asks the cashier to confirm. Scanning the license itself takes a 2D barcode scanner or a tablet camera, and it's usually a paid feature. Either way, the POS helps your staff follow your state's rules. It doesn't replace them.
Case versus bottle
How do you sell by the case and by the bottle?
You've got two choices. One is free and slightly annoying. The other keeps your count honest and usually costs a monthly plan.
Option 1
Two items, two counts
Set up the case and the single as separate items. Easy, and works on any POS. The catch: when you break a case to sell singles, you adjust both counts by hand, and people forget.
Fine for a store that rarely splits cases.
Option 2
One count, two units
The POS knows a case holds 12 or 24. Receive in cases, sell singles or cases, and one count updates either way. Wine by the glass and the bottle works the same way, if you pour samples or run a tasting bar.
Worth it once you split cases every week.
Mix-a-six and case deals are a separate thing. Those are quantity discounts, and many free plans let you set them up so they apply automatically when the cart qualifies.
Vendors and distributors
How do you keep up with vendors and distributors?
Tie every item to the distributor you buy it from. Then a purchase order is a filter, not a phone call from memory. When the truck shows up, receive the order against the PO, and your counts and costs update in one step.
Honestly, this is the part of liquor retail that a free plan handles least. Simple counts and low-stock alerts are common on free plans. Vendor lists, purchase orders and cost reports usually aren't. If you're ordering from three distributors every week, budget for it.
- Record your cost on each item so margin reports mean something
- Set low-stock levels on your fast movers first
- Do a full count before you switch, and spot counts after

Switching over
What should you do before you switch?
A liquor store has a lot of SKUs and not much slack. Plan the move for a slow weekday.
Export your items
Pull names, barcodes, sizes and costs out of the old system as a spreadsheet. Retyping a few thousand bottles is nobody's idea of fun.
Test your scanner
Plug it in and scan ten random bottles, including a case and a pack. Then scan a license if you plan to.
Mark the restricted items
Set the age rule by category so you don't miss a new product later.
Check your contract
Old processing contracts and leased hardware can carry cancellation fees. Our switching guide covers what to look for.

Questions
Liquor store owners ask us
What is the best POS for a liquor store?
One that scans everything you stock, stops the sale for an ID check on age-restricted items, and keeps an accurate count by item and size. After that, look at how it handles a case versus a single bottle and whether it tracks which distributor each item comes from. Those two are where systems really differ.
Is there free POS software for a liquor store?
Yes. Free retail POS plans cover scanning, simple stock counts, low-stock alerts and an age check prompt. You pay a processing fee on card sales. Selling cases and bottles from one count, vendor tracking and purchase orders usually come with a paid plan.
Do I need a 2D barcode scanner?
Only if you want to scan driver's licenses. A basic 1D scanner reads the barcodes on bottles and cans just fine. The barcode on the back of a license is a 2D code, so ID scanning needs a 2D scanner or a POS that can use a tablet camera.
Does Square check IDs at a liquor store?
Yes, in retail mode. Mark an item as age restricted (18+, 19+, 21+ or a custom age) and the register prompts for an age check before the sale finishes. On Square Free your cashier confirms it on screen. Entering a birth date or scanning a US or Canadian ID needs Square Plus or Premium. Either way, following your state's rules is still on you.
Can Square sell a case and a single bottle from the same count?
Yes, on Square Plus or Premium. Stock conversion lets you receive cases and sell bottles (or sell wine by the glass and by the bottle) from one count. On Free, set up the case and the single as separate items and count each one.
Does Square add bottle deposits?
Yes. Set a deposit on an item and Square adds it at checkout. Square's retail plan table lists it on Free, so a store in a deposit state doesn't need a paid plan for this.
